EMS Quote Turnaround Times: Industry Benchmarks and Your Win Rate

How long does it take your team to return a complete, priced quote on a mid-complexity BOM? If you don’t know that number off the top of your head, that’s the first data problem. The second: however long it takes you, there’s an EMS company in your market that does it faster, and they’re winning jobs because of it.

The most important sales KPI nobody tracks

Most EMS leaders track quote win rate, quote volume, and revenue by customer. Almost none track quote turnaround time, yet it’s the single metric most correlated with competitive positioning in commoditized markets, and it’s almost entirely within your operational control.

Hypotheticals by size and complexity

Let’s look at some hypotheticals: 

Small EMS (<$10M): typical 3-7 days; best-in-class 4-8 hours. 

Mid-market ($10-$100M): typical 1-4 days; best-in-class under 2 hours. 

Enterprise ($100M+): typical 2-5 days due to approval layers; best-in-class around one day. 

By BOM complexity: 

simple jobs (<50 lines) should be quotable in under 2 hours; 

mid-complexity (50–200 lines) in 4-8 hours best-in-class; 

complex (200+ lines) in 1–2 days best-in-class.

Most teams treat every job as “complex” from a workflow standpoint - a strategic mistake that taxes the simple jobs too.

Measure your real number

Calculate average turnaround from RFQ receipt to quote sent, using CRM timestamps or email threads. Segment by complexity. Watch for the common errors: measuring “quote sent” rather than “first response,” and lumping a 30-line job in with a 400-line one.

The ROI of halving turnaround

Walk the math: if cutting turnaround from 3 days to 4 hours lifts win rate by even a handful of points across, say, 80 quotes a month at a $45K average, the annual revenue impact is substantial. The efficiency side compounds it: a 50% cut in time-per-quote means each team member handles roughly twice the volume.

Setting and hitting a target

Three steps: measure your baseline, identify your top two time sinks (almost always BOM cleanup and pricing lookups), and eliminate them with automation. Treat it as a 90-day program with a number attached, not a vague aspiration.
